What Fashion Buyers Should Prepare Before Requesting a Quote
A useful apparel quotation is a response to a defined product, not a guess based on a photograph. When key information is missing, suppliers must price assumptions; those assumptions may later change the product cost, sample route, or delivery plan. A well-prepared request lets buyers compare suppliers fairly and identify technical questions early. It also gives the manufacturer enough context to say whether the proposed garment is practical. Use this checklist before sending a quote request for womenswear.

Describe the product precisely
State the category, season, target customer, and reference images or technical flats. Include front and back views, measurement chart, size range, grading expectations, seam and stitch details, pocket construction, closures, lining, and any special finish. Flag features that are mandatory versus preferred. A photo can communicate mood, but it rarely communicates hidden construction; a concise tech pack prevents suppliers from filling gaps differently.
Specify materials, trims, and branding
Provide fabric composition, target weight, finish, color references, stretch or drape expectations, and any test or market requirements you need to discuss. List each trim: zipper, button, elastic, thread, label, hangtag, and packaging component. If the supplier is expected to source, include target quality and price position rather than only saying 'similar.' Ask the supplier to identify alternatives separately so you can compare them against the intended specification.
Give quantity and commercial context
Quote quantity by style, color, and size range; a total quantity alone does not reveal the production mix. State target price, currency, delivery destination, preferred Incoterm, and whether freight should be excluded. Explain the desired sample stage and target ship window, while recognizing that material availability and approvals affect planning. Tell suppliers which markets the product will enter so labeling, documentation, or testing questions can be raised at the right time.
Ask questions that make quotes comparable
Request a line-by-line explanation of what is included: fabric and trims, pattern or sample work, labels and packing, testing if relevant, and shipping basis. Ask for quote validity, payment assumptions, sample timing assumptions, bulk planning assumptions, and exclusions. If you invite alternative fabrics or construction, request a separate option rather than an unmarked substitution. A comparable quote is more valuable than a single headline number.
Send a complete inquiry pack
Before sending, check that you have attached: tech pack or annotated images; bill of materials; color references; measurement and grading file; quantity breakdown; brand and packaging files; compliance questions; destination and Incoterm; target price and calendar; and the person authorized to approve changes. Keep revisions dated. This small discipline reduces contradictory instructions and lets a supplier focus on a considered response rather than repeated clarification.
